Purpose
This glossary defines the terminology used throughout the EU AI Act Compliance Management System.
Terms
AI System
A machine-based system designed to operate with varying levels of autonomy and capable of generating outputs such as predictions, recommendations, decisions or content.
AI Governance
The framework of policies, procedures, responsibilities and controls used to manage AI systems.
AI Governance Owner
The individual responsible for coordinating the organization's AI Compliance Management System.
AI System Owner
The individual responsible for a specific AI system throughout its lifecycle.
Audit
A systematic, independent and documented process for evaluating compliance.
Checklist
A controlled document used to verify completion of required activities.
Compliance
The state of conforming with applicable legal, regulatory and organizational requirements.
Controlled Document
A document that is uniquely identified, versioned, approved and managed under document control.
Declaration
Management's formal statement confirming implementation of a compliance activity.
Evidence
Objective information demonstrating that an activity has been performed.
High-Risk AI System
An AI system classified as High-Risk under Regulation (EU) 2024/1689.
Human Oversight
Measures ensuring that natural persons supervise AI system operation where required.
Incident
An event affecting the availability, integrity, confidentiality, compliance or safe operation of an AI system.
Inspection
A formal review performed by a regulatory authority or authorized body.
Policy
A high-level statement establishing management intentions and direction.
Procedure
A documented sequence of activities describing how a process is performed.
Register
A controlled record containing operational compliance information.
Risk Classification
The process of determining the applicable EU AI Act risk category for an AI system.
Traceability
The ability to follow relationships between policies, procedures, records, evidence and declarations.
Version Control
The systematic management of document revisions throughout their lifecycle.
